Manage token grants

Overview

This section covers the main lifecycle actions you can take on an existing token grant in Coinbase Token Manager:

  • Publish a token grant to move it from draft to active so vesting and unlock schedules can take effect.

  • Edit a token grant by duplicating an active grant, adjusting the structure as a draft, and then publishing the updated version.

  • Pause a token grant to temporarily prevent vested and unlocked tokens from appearing in payouts or being claimed until you are ready to resume distributions.

  • Archive a token grant to permanently stop any future vesting as of a specific date, while keeping already vested (and, when applicable, unlocked) tokens available for payout or claims.

  • Unarchive a token grant to restore a previously archived plan to active status when a stakeholder’s circumstances change.

  • Delete a token grant when it was created in error or as test data and should be removed entirely, rather than archived.

Use the individual sections below for step‑by‑step instructions on each of these actions.

Overview

Publishing a token grant in Coinbase Token Manager moves it from a draft state into an active state, so vesting and unlock schedules can take effect and tokens can later be paid out or claimed.

You must first create a draft token grant before you can publish it.


Before you publish

Before publishing a token grant:

  • Confirm that the grant exists as a draft in Coinbase Token Manager

  • Review the draft for correctness, including:

    • Stakeholder details

    • Grant quantity

    • Vesting and lockup schedules

    • Any tax or pricing settings

Publishing may require an on‑chain transaction if your account uses smart contracts. Make sure you have access to the appropriate wallet or multisig to sign.


Step 1 – Open the Drafts tab

  1. Sign in to Coinbase Token Manager as an admin.

  2. Navigate to your Token grants or vesting plans page.

  3. Switch to the Drafts tab to see all draft token grants.


Step 2 – Choose which grants to publish

You can:

  • Publish a single draft grant, or

  • Publish multiple drafts at once

To publish one grant:

  • Locate the specific draft token grant you want to activate

  • Use the Publish action on that row

To publish all drafts:

  • Use the Publish all drafts option (if available) to publish every draft in the list


Step 3 – Confirm the publish action and sign any required transaction

After you click Publish or Publish all drafts:

  1. Coinbase Token Manager will prepare the necessary changes.

  2. If your account is configured with on‑chain contracts, your connected wallet or multisig may prompt you to:

    • Review the transaction details

    • Approve and sign the transaction

The grant is not considered fully published until any required on‑chain transaction is successfully executed.


Step 4 – Verify the grant in Active plans

Once the publication is complete:

  1. Return to your Token grants or vesting plans page.

  2. Switch to the Active plans or equivalent tab.

  3. Confirm that:

    • The grant now appears as active

    • The vesting and lockup schedule looks correct


Step 5 – Monitor transaction status

If an on‑chain transaction was required:

  1. Navigate to your Transactions or Activity page in Coinbase Token Manager.

  2. Locate the publishing transaction.

  3. Confirm its status:

    • Pending

    • Confirmed

    • Failed or reverted

If a transaction fails, review the error, correct any issues (for example, insufficient gas or permissions), and attempt the publish process again.

Overview

In some cases, you may need to adjust an existing token grant in Coinbase Token Manager, for example:

  • Changing the total grant amount

  • Adjusting the vesting frequency or vesting day of the month

  • Marking certain tokens as already delivered off‑platform

Because published grants may be anchored on‑chain or treated as immutable for audit reasons, the standard pattern is:

  1. Duplicate the existing active grant

  2. Edit the duplicate as a draft

  3. Publish the edited grant

  4. Archive or delete the original grant


Step 1 – Locate the active token grant

  1. Sign in to Coinbase Token Manager.

  2. Navigate to your token grants or vesting plans dashboard.

  3. In the active or current grants view, find the token grant you want to modify.


Step 2 – Duplicate the grant

  1. On the row for the grant you want to change, open the more actions menu (three dots or ellipsis).

  2. Select the option to duplicate the grant.

This creates a copy of the original grant and opens it in an edit screen or adds it to your drafts, depending on your configuration.


Step 3 – Edit the duplicated grant

  1. Open the duplicated grant in the Edit token grant screen (if it does not open automatically, locate it in your draft grants list and select it).

  2. Make the required changes, such as:

    • Updating the total grant amount

    • Changing vesting frequency or occurrence dates

    • Adjusting schedule parameters

    • Marking portions of the grant as delivered off‑platform if they have already been paid outside Coinbase Token Manager

  3. Save the edited grant:

    • Use Create or Save to store the updated grant structure as a draft.

After saving, the modified grant appears in your list of draft token grants.


Step 4 – Preview the draft grant

  1. Go to the draft grants section in your token grants dashboard.

  2. Locate the draft grant you just edited.

  3. Select Preview (or open it in a read‑only view) and review:

    • Stakeholder information

    • Grant quantity

    • Vesting and lockup schedules

    • Any off‑platform delivery markings

Confirm that the structure matches the intended final configuration.


Step 5 – Optional: Mark tokens already delivered off‑platform

If some tokens from the original grant have already been delivered outside Coinbase Token Manager, you can reflect that in the new draft, where supported:

  1. While the grant is still in draft state, identify the relevant vest events or amounts that have already been delivered.

  2. Use the option to mark those amounts as delivered off‑platform.

  3. Confirm or submit those markings within the draft.

This ensures future payouts from Coinbase Token Manager do not attempt to re‑deliver tokens that were already sent manually.


Step 6 – Publish the edited draft grant

  1. Once you are satisfied with the edits, close any preview view and return to the draft’s main screen.

  2. Use the Publish or Publish draft action to activate the edited grant.

  3. If prompted, confirm and sign any required transaction:

    • For smart contract or on‑chain accounts, approve the transaction in your wallet or multisig.

After successful publishing, the new grant will be active and its status will typically show as pending or active, depending on your system’s terminology.


Step 7 – Verify the new grant’s status

  1. Navigate back to your active grants or vesting plans page.

  2. Confirm that:

    • The newly edited grant appears as an active plan for the stakeholder

    • The vesting and lockup schedule matches your expectations

If anything looks incorrect, address it before deactivating the original grant.


Step 8 – Archive or delete the original grant

To avoid confusion and double counting, you should move the original grant to an inactive state once the edited grant is live.

  1. Return to the original token grant in the active grants list.

  2. Open the more actions menu (three dots or ellipsis) next to the original plan.

  3. Choose Archive or Delete, depending on your internal policies and system options:

    • Archive is typically preferred when you want to retain a record but stop future vesting.

    • Delete may be reserved for test data or grants that should not remain in your history.

Follow any additional prompts to confirm the action.

Overview

Pausing a token grant temporarily prevents vested and unlocked tokens from being paid out or claimed. This can be useful when you need to delay payouts while some condition is resolved, without permanently changing or archiving the grant.

When a grant is paused:

  • Any vested and unlocked tokens are excluded from the Payouts page.

  • Stakeholders cannot claim tokens from that grant.

  • Once the grant is unpaused, unlocked tokens from historical dates become available again for distribution.

Pausing does not delete or archive the grant; it is a temporary control that can be reversed.


When you might pause a token grant

Common reasons to pause a grant include:

  • You are waiting on a signed agreement or updated legal documentation.

  • You need to confirm or update the stakeholder’s wallet address before sending tokens.

  • You want to hold back payouts until a milestone or condition has been met.

  • There is an internal review or approval process that must complete before tokens are released.

In these situations, pausing lets you keep the grant configuration intact while stopping payouts until the issue is resolved.


Pause a token grant

Follow these steps to pause a grant:

  • Sign in to Coinbase Token Manager.

  • Navigate to the Token grants page.

  • Find the row for the grant you want to pause.

  • On the right side of the row, open the more actions menu (three dots).

  • Select Pause.

  • Wait for the success notification confirming that the grant has been paused.

After pausing:

  • Vested and unlocked amounts from this grant will no longer appear in your Payouts page.

  • The stakeholder will not be able to claim tokens from this grant until it is unpaused.


Resume or unpause a token grant

When you are ready to allow payouts or claims again, you can unpause the grant:

  • Return to the Token grants page.

  • Locate the paused grant in the list.

  • Open the more actions menu (three dots) on the right side of the row.

  • Select Resume or Unpause (label may vary by UI).

  • Wait for the success notification confirming that the grant has resumed.

After resuming:

  • Any tokens that are vested and unlocked, including those that became unlocked while the grant was paused, will become available for distribution in your Payouts page.

  • Stakeholders can again claim tokens from this grant, depending on your account configuration.

Overview

Archiving a token grant in Coinbase Token Manager freezes future vesting for that grant as of a specific archive date. This is commonly used when stakeholder circumstances change, such as an employee termination, a role change, or a milestone not being met.

When you archive a grant:

  • Vest events that occur before the archive date (and do not have a lockup) can still be paid out or claimed

  • Vest events that occur after the archive date do not vest and cannot be paid out or claimed

  • Vest events that occur before the archive date but unlock after will still be available to pay out or claim once they unlock, subject to any lockup schedule

You can archive a single grant or archive multiple grants at once using bulk archive.


How archiving affects vesting and claims

When a grant is archived as of an archive date:

  • Vesting stops on and after that archive date

  • Future vest events scheduled after that date will not vest or become deliverable

  • Any tokens that have vested on or before the archive date remain:

    • Vested

    • Potentially claimable or payable, subject to lockup restrictions

Examples:

  • If the next vest event is January 1, 2025 and you archive the grant with an archive date of December 31, 2024, the January 1, 2025 event will not vest

  • If tokens vested before the archive date but are still subject to a lockup, they will continue to unlock according to the lockup schedule and can then be paid or claimed

If claims are enabled, vested and unlocked tokens that occurred before the archive date remain claimable by the stakeholder.


When to archive a token grant

Common reasons to archive a grant include:

  • Employee or stakeholder termination, where no further vesting should occur after a given date

  • A change in role or position that ends eligibility for future vesting

  • Milestone-based grants where the milestone was not met and further vesting should stop

  • Plan or policy changes that require cutting off future vesting while keeping historical data intact

If you created a grant in error and do not want to preserve its vest history, deleting the grant and creating a new corrected grant may be more appropriate.


Archive a single token grant

Follow these steps to archive one grant at a time.

  • Sign in to Coinbase Token Manager as an admin.

  • Navigate to the Token grants or vesting plans page.

  • Locate the grant you want to archive.

  • On the right side of that grant’s row, open the actions menu (three dots).

  • Select Archive.

  • In the archive dialog:

    • Choose an archive date

    • Optionally enter a reason for archiving, such as employee termination or role change

  • Confirm by selecting Archive token grant.

If your account is configured as an on-chain or smart contract account:

  • Your connected wallet or multisig interface may prompt you to review and sign an on-chain transaction for this archive action

  • Approve and sign the transaction in your wallet

After the transaction is confirmed, the grant will be archived as of the specified date.

To view archived grants:

  • Use the status filter on the Token grants page

  • Select Archived to see only archived grants


Bulk archive token grants

When you need to archive multiple grants at once, you can use the bulk archive flow.

  • Sign in to Coinbase Token Manager.

  • Go to the Token grants or vesting plans page.

  • In the table, select the checkboxes on the left side of each grant you want to archive.

  • After selecting all relevant grants, use the bulk actions at the top of the table and choose Archive.

  • In the bulk archive dialog:

    • Optionally set a specific archive date (the default is usually today’s date)

    • Optionally provide a reason for archiving, such as employee termination, reorganization, or plan change

  • Confirm by selecting Archive token grants to process the change.

If your company uses on-chain contracts:

  • Your wallet or multisig will prompt you to sign an on-chain transaction that covers the bulk archive

  • Approve and sign the transaction in your wallet

  • Wait for the transaction to be confirmed on-chain

Once processed, all selected grants will be archived with the configured archive date and reason.


Setting a future archive date

You can schedule an archive in the future to let vesting continue until a defined cutoff date.

When you set a future archive date:

  • Vesting proceeds normally until the archive date

  • On the archive date:

    • Future vest events stop vesting

    • Any tokens vested up to that date remain available to pay out or claim

  • If there is a lockup schedule:

    • Vested tokens before the archive date will still unlock over time according to the lockup schedule

In the Token grants page:

  • The grant’s progress may show as Scheduled to be archived

  • The grant details view will show Scheduled to be archived and include the effective archive date

  • Stakeholders will see in their view that the grant is scheduled to be archived on that date, so they know when future vesting will stop

Overview

If a token grant was previously archived (for example, due to a termination, unmet milestones, or a role change) and the stakeholder’s circumstances change, you may need to unarchive that grant to resume its vesting and payout behavior.

Unarchiving moves the grant back into an active state, subject to your account’s on‑chain configuration and current vesting schedule.


When you might unarchive a token grant

You might unarchive a grant when:

  • An employee’s status changes (for example, rehire or reversal of a termination decision)

  • A milestone that originally caused the grant to be paused or archived has now been met

  • A role or position changes in a way that re‑enables eligibility for tokens

  • You previously archived the grant in error and need to restore it

Always confirm with your legal, HR, or finance teams before restoring a grant to active status.


Step 1 – Go to the Token grants page

  1. Sign in to Coinbase Token Manager as an admin.

  2. Navigate to the Token grants or vesting plans page.

  3. Switch to the view or filter that shows archived grants, if applicable in your UI.


Step 2 – Select the grant to unarchive

  1. Locate the token grant you want to unarchive in the archived list.

  2. On the row for that grant, open the more actions menu (three dots).

  3. Select Unarchive from the dropdown menu.

A confirmation dialog or modal will appear.


Step 3 – Confirm the unarchive action

  1. In the confirmation modal, review the information about the grant and what unarchiving will do.

  2. Click the button to confirm, for example Unarchive token grant.

If your account uses on‑chain smart contracts, Coinbase Token Manager will now prepare an on‑chain transaction to update the grant state.


Step 4 – Sign any required on‑chain transaction

  1. Your connected wallet or multisig interface may prompt you to confirm and sign a transaction associated with unarchiving the grant.

  2. Review the transaction details.

  3. Approve and sign the transaction in your wallet.

Until this transaction is executed and confirmed on‑chain, the grant will remain in a transitional state.

After submission:

  • The grant’s status may show as Pending or similar while the transaction is being mined and confirmed.


Step 5 – Verify the grant is active again

  1. Wait a short period for the transaction to be confirmed on‑chain.

  2. Refresh your Token grants or vesting plans page.

  3. Confirm that:

    • The previously archived grant now appears in the active or current grants list

    • Its status no longer shows as archived or pending

    • A vested token quantity and progress indicator (for example, a blue progress bar) display appropriately, reflecting any vesting that has occurred up to the present

Any tokens that have vested and unlocked according to the schedule since the archive date (subject to your configuration and business rules) will be treated according to your account’s logic once the grant is active.

Overview

In certain situations, you may need to delete a token grant in Coinbase Token Manager. Common reasons include:

  • You discovered an error in the grant configuration and need to recreate it

  • The grant was created as a test or duplicate and should not remain in the system

Because deletion permanently removes the grant from normal views, consider whether archiving might be more appropriate when you want to preserve history but stop future vesting.


Step 1 – Locate the active token grant

  1. Sign in to Coinbase Token Manager as an admin.

  2. Navigate to your token grants or vesting plans dashboard.

  3. In the active or current grants view, identify the token grant you want to delete.

Ensure this is the correct grant and that deletion, rather than editing or archiving, is the right action.


Step 2 – Delete the token grant

  1. On the row for the grant you want to remove, open the more actions menu (three dots).

  2. Select Delete grant.

  3. A confirmation dialog will appear. Review the information shown.

  4. Select Delete grant again to confirm.

If your Coinbase Token Manager account is configured as a smart contract or other on‑chain account (not a purely tracking‑only or custodian‑only account):

  • You may be prompted to sign a blockchain transaction in your connected wallet (or multisig) to complete the deletion.

  • Review and approve the transaction in your wallet when prompted.

The grant is not fully deleted until any required on‑chain transaction is successfully executed.


Step 3 – Verify deletion

After confirming and, if applicable, signing any required transaction:

  1. Refresh your token grants dashboard.

  2. Confirm that the deleted grant no longer appears in the active grants list.

  3. If you still see the grant:

    • Check whether the transaction is pending in your wallet or in the Transactions/Activity view

    • Wait for on‑chain confirmation and refresh again

If the deletion transaction fails or is reverted, review the error (for example, insufficient gas or permissions), address the issue, and repeat the deletion steps if necessary.
